Marketing Report

Weekly report wizard, quarterly board report and the Pipedrive → Google Ads conversion sync. Pipeline IDs, Origin field key, ad accounts and sync settings live on the portal settings (pipedrive / gads / msads / mr / ocisync modules).

Enquiry lookup → add what each lead’s original enquiry was about to a spreadsheet of leads, from their Pipedrive notes and emails.

Step 1

Pick the week

Mon–Sun weeks ending Sunday. Defaults to the most recent Sunday; the previous week fills automatically.

Step 2

DR figures (spreadsheet)

Load from sales log pulls the week straight from the digital sales log — no spreadsheet needed once the team logs there. Or upload the DR workbook (.xlsx) — parsed entirely in-browser, same logic as the WP page: the WEEK ENDING blocks on the last tab that has any are read (an empty tab after it is skipped), the block matching the selected week auto-fills the fields, and the "Last Year MONTHLY STATS" big figure is picked up when present. Changing the week re-matches without re-uploading. Pasted Label → Value rows or a .csv/.tsv export still work as a fallback.

Big Figure = Sales + Comms (computed on save): —

Step 3

Fetch Pipedrive

One wide fetch per pipeline, aggregated for the current and previous week. HC/DR prev-year = exactly −364 days. A Pipedrive failure surfaces as an error — never as zeros.

Step 4

Ad spend

Google / Microsoft auto-fetch when connected (per-account failures downgrade to warnings); Merrehill derives from Legal leads × CPL; Apollo is manual. Microsoft timeouts mean UNKNOWN, never £0.

SourceDR £HC £Legal £Notes
Google Ads main = "1 - " DR / "2 - " HC prefixes; legal account = Legal
Microsoft Ads —— DR only (DCBL account)
Apollo ——manual
Merrehill (Email CPL) —— — leads × CPL — auto-derived from the fetch
Step 5

Deck output & save

Tables in the weekly deck's slide order — DR weekly figures, DR by origin (vs the same week last year), Legal Sales, High Court, then HC instructions by type. Every table has its own copy button; the TSV pastes straight into PowerPoint.

Legal / HC / DR tables from the fetch above. Each pipeline renders its current-week table and its comparison (prev week / year ago) as separate tables sharing the same row order, so either can be copied straight into the presentation. Saving stores this week's metrics (≤26 weeks kept) so next week's "prev" column auto-fills.

Fetch Pipedrive data first.

Quarterly board report

Pick the quarter's first month (DCBL quarters start Feb / May / Aug / Nov) vs the same months last year. First build of a quarter can take a while (Microsoft runs report jobs); results cache 6 hours with a config signature.

Conversion sync — Pipedrive → Google Ads

Daily 03:30 UTC cron uploads won deals via the Data Manager API. HC routes by attached Product to per-service actions at fixed expected values; DR sends each deal's own value; Legal sends each deal's own value to the separate DCB Legal ads account (its own OAuth connection and conversion action — never mixed with DR/HC). DR and Legal are staged via their own modes. The Leads leg (its own mode) sends every deal created with a click id — form, chat or caller — to the “Pipedrive lead” action at value 0, once per deal, so Smart Bidding sees the lead the day it becomes a deal. The Quoted leg (its own mode) sends every deal that reaches its pipeline’s quoted stage to that pipeline’s own “Pipedrive quoted” action, so DR campaigns never learn from HC quotes. Global mode stays dry-run (validateOnly) until the parallel-run reconciles. Settings live under the ocisync module on the portal.

Daily leads email

Each morning: how many leads came into one Pipedrive pipeline the day before, by type and by source, with the same days last week and the month so far. A lead is a deal added to the pipeline, counted on its UK date, whatever its status now. Preview it for any morning and send yourself a test — nothing goes out on schedule until Send on schedule is on and there are recipients.

optional — a Pipedrive field to count the leads by between 06:00 and 10:45

Breakdown rules

Each lead is put in the first group it matches, top to bottom; anything else is New. Separate several with commas; leave a box empty to switch that group off.
